What happens with your details

Your details go over an encrypted connection to the practice server in Germany and from there as an email to the practice. No calendar service, no booking provider and no payment provider is involved.

As a Heilpraktiker für Psychotherapie (state-licensed non-medical psychotherapy practitioner) I am bound by professional confidentiality under § 203 of the German Criminal Code. Nobody outside the practice learns that you have requested an appointment.

Purpose
Allocating and managing the requested appointment, confirmation by email, a reminder 48 hours beforehand, issuing the invoice and retaining it for tax purposes.
Legal basis
Art. 6(1)(b) GDPR (preparing and performing the treatment contract); for retaining the invoice Art. 6(1)(c) GDPR together with § 147 German Fiscal Code and § 257 German Commercial Code. For voluntary entries in the “what it is about” field, Art. 6(1)(a) GDPR — your consent, which you can withdraw at any time.
Recipients
Only the practice itself. A processing agreement under Art. 28 GDPR exists solely with the host of the practice server (All-Inkl. – Neue Medien Münnich, Friedersdorf, Germany), which transmits the data technically and does not process its content. There is no transfer to third countries, no disclosure to third parties and no automated decision-making or profiling.
Retention
If you do not confirm the link in the email, the request is deleted automatically after 72 hours. If no appointment comes about, your details are deleted after three months. After an appointment has taken place, name, address and appointment time remain stored for the invoice and are deleted ten years after the end of the invoicing year (§ 147 German Fiscal Code). Voluntary entries in the “what it is about” field are deleted after the first session.
Your rights
Access, rectification, erasure, restriction of processing, data portability and objection — an email to the practice is enough. You can lodge a complaint with the Data Protection Commissioner of North Rhine-Westphalia. Set out in full in the privacy summary and, in binding form, in the German Datenschutzerklärung.
Obligation to provide
Name, email, phone and address are needed to confirm the appointment and issue the invoice. Without them a booking through this form is not possible. You can write to the practice instead.
